As our Contract Administrator , you’ll be the backbone of our operations—juggling job scheduling, workforce coordination, vendor management, and compliance. Plus, you’ll own payroll administration, including prevailing wage, certified payroll, and complex reporting to keep us on track and in compliance.

What You'll Be Doing:

  • Own the Contracts: Review, organize, and maintain construction contracts, ensuring compliance with terms, timelines, and specifications.
  • Be the Scheduling Guru: Coordinate and dispatch maintenance crews across multiple locations, balancing priorities and resources.
  • Keep Payroll on Point: Manage payroll for the maintenance team, including prevailing wage, certified payroll, and detailed reporting to meet regulatory requirements.
  • Run a Tight Ship: Oversee vendor and supplier relationships to ensure timely material delivery and smooth operations.
  • Navigate Multiple Systems: Update and maintain scheduling, inventory, and client management platforms to keep workflows seamless.
  • Be the Communication Hub: Liaise with clients, field teams, and stakeholders to ensure everyone is informed and aligned.
  • Solve Problems in Real Time: Tackle scheduling conflicts and resource allocation challenges with creative solutions.

What You Bring to the Table:

  • 3+ years of experience in contract administration, operations, or coordination —ideally in commercial construction, flooring, or facility maintenance.
  • A solid understanding of construction contracts and the ability to ensure compliance with project requirements.
  • Payroll expertise , including prevailing wage, certified payroll, and complex reporting.
  • Top-notch organizational and time management skills to juggle multiple priorities without missing a beat.
  • Tech-savviness with scheduling software, databases, and reporting tools.
  • A proactive, problem-solving mindset and strong attention to detail.
  • Excellent written and verbal communication skills to collaborate with diverse teams.
  • A valid driver’s license and reliable transportation for occasional site visits.

Bonus Points for:

  • Experience in the commercial flooring industry.
  • Knowledge of construction terminology, vendor management, and procurement.
  • Prior experience coordinating teams across multiple locations.

Details:

  • Salary is depending on experience, starting at $25/hr.
  • Hours: Monday - Friday 8a-5p
  • 90 day probationary period for perm hire and benefits
